These Terms and Conditions outline the arrangements for tuition provided by Chloe Jane Tutoring.
By confirming a place with Chloe Jane Tutoring, parents and guardians agree to these Terms and Conditions. My aim is to provide a professional, supportive and personalised learning experience while ensuring clear expectations for both families and myself.
TUITION ARRANGEMENTS
Tuition is provided on a regular weekly basis, with lessons tailored to support each child’s individual needs, goals and preparation requirements.
Lessons may include support with:
• Mathematics
• English
• Verbal Reasoning
• Non-Verbal Reasoning
• Exam preparation techniques
• Independent school preparation
• Grammar school preparation
• Boarding school preparation
• School interview preparation where appropriate
Lesson length and format will be agreed with each family before tuition begins.
PAYMENTS
Lessons are invoiced monthly in advance.
Invoices are sent during the final week of the month for the following month’s lessons.
Payment is required before the first lesson of each month to secure your child’s regular weekly lesson time.
A regular weekly lesson slot is reserved specifically for your child, allowing for consistent planning and effective long-term progress.
CANCELLATIONS, MISSED LESSONS AND FAMILY HOLIDAYS
I understand that families may occasionally need to change arrangements due to holidays, illness or other commitments.
Families may cancel up to four lessons per academic year, provided a minimum of 48 hours’ notice is given.
These flexible cancellations are intended to support families with occasional changes throughout the year.
Any additional cancellations, or cancellations made with less than 48 hours’ notice, will be charged at the full lesson fee.
HOLIDAY ARRANGEMENTS
Lessons generally continue throughout most UK school holidays.
I understand that many families travel during school holiday periods, particularly families based internationally.
If a family usually attends face-to-face tuition and would prefer not to use a cancellation while travelling, lessons may be changed to online sessions where appropriate.
Online lessons can continue while families are away, with lesson times arranged at a time that works well for both the family and myself.
For online tuition families, lessons can continue throughout holiday periods if preferred.
Any changes to lesson times during school holidays will always be discussed and agreed in advance.
Any periods where I am unavailable will be communicated to families with as much notice as possible.
FACE-TO-FACE AND ONLINE TUITION
Face-to-face tuition is available for families based in London.
Online tuition is available for families across the UK and internationally.
For online lessons, families are responsible for ensuring their child has access to:
• A suitable device
• A reliable internet connection
• A quiet learning environment where possible
Tablets, particularly iPads, are often the easiest devices for children to use during online tuition.
LEARNING RESOURCES AND HOMEWORK
Homework may be set to support learning between lessons and consolidate concepts covered during tuition.
Homework is personalised to each child and may include written tasks, revision activities or online learning resources.
For online tuition, I recommend that families purchase an Atom Learning subscription to complement lessons.
Atom Learning may be used to provide personalised homework, allow children to practise independently and enable parents to review explanations and corrections.
Atom Learning subscriptions are purchased and managed directly by families.
PARENT COMMUNICATION AND FEEDBACK
I value communication with families and believe that working together provides the best support for each child.
At the end of each lesson, I will provide a brief update regarding:
• What was covered during the lesson
• Areas of progress
• Areas requiring further development
• Homework or recommended next steps
Where parents are unavailable at the end of a lesson, this update may be provided via WhatsApp.
SCHOOL ADMISSIONS GUIDANCE CONSULTATIONS
School Admissions Guidance is available as an additional service alongside regular tuition.
To provide meaningful and personalised advice, I recommend that children have completed a minimum of eight weeks of tuition before a school admissions consultation takes place.
This allows me to develop an understanding of the child’s:
• Academic strengths
• Areas for development
• Learning style
• Exam preparation needs
• Suitable school options
School Admissions Guidance may include:
• Discussing suitable schools based on the child’s individual profile
• Understanding different entrance examination requirements
• Guidance on independent schools, grammar schools and boarding schools
• Advice on preparation timelines and next steps
School Admissions Guidance consultations are a separate service from regular tuition and are priced separately.
While I provide guidance and support throughout the admissions process, admission decisions are made by individual schools and cannot be guaranteed.
INTERVIEW PREPARATION
When children receive school interview invitations, their usual tuition sessions may be adapted to include interview preparation.
This may include:
• Building confidence
• Developing communication skills
• Practising interview-style questions
• Helping children feel prepared and comfortable during the interview process
SAFEGUARDING AND PROFESSIONAL STANDARDS
I hold an Enhanced DBS certificate and am committed to providing a safe, professional and supportive learning environment for every child.
All lessons are conducted with the child’s wellbeing, confidence and educational development as the priority.
CONFIDENTIALITY
Family information, academic progress and personal details will be treated confidentially.
Information will not be shared with third parties unless:
• Permission has been provided by a parent or guardian; or
• There is a legal requirement to do so.
TESTIMONIALS AND WEBSITE CONTENT
With parental permission, testimonials or feedback may be shared on the Chloe Jane Tutoring website or marketing materials.
No testimonial will be published without approval from the parent or guardian.
FEE REVIEWS
Chloe Jane Tutoring reserves the right to review tuition fees periodically. Families will always be provided with advance notice of any changes to fees.
ENDING TUITION
Tuition will naturally come to an end once entrance examinations and any required interview preparations have been completed.
This will always be discussed with families in advance, depending on each child’s individual circumstances and preparation needs.
If a family wishes to end tuition before this point, one month’s notice is required to allow for appropriate planning and closure of lessons.
